LOCAL POLICIES
Waiver
All players need to sign a waiver, which needs to be renewed annually. The waiver must be signed in person during Check-In.
Safety Checks
All weapons will require being checked for safety during Check-In.
Arrows and crossbow bolts must be checked every game.
Approved weapons will be tagged. At any point during play if a Marshal feels that your weapon is unsafe, they may untag the weapon. Players using untagged weapons will receive a written warning or restriction from participating in combat after additional offenses.
Photography
We do have event photographers and social media manager at the game. By purchasing a ticket you are consenting to having your image captured and possibly used for promotional purposes, including, use on websites, in social media, and advertising.
By entering the event premises, you waive and release any claims you may have related to recorded media of you at the event, including, without limitation, any right to inspect or approve the photo, video or audio recording of you, any claims for invasion of privacy, violation of the right of publicity, defamation, and copyright infringement or for any fees for use of such record media.
You understand that all photography, filming and/or recording will be done in reliance on this consent. If you do not agree to the foregoing, please contact guild@uwdarkharbor.com and a staff member will reach out to you regarding options.
Alcohol and Drug Policy
Consumption of alcoholic beverages and mind-altering substances is NOT allowed at events that include combat modules. All illegal substances are not allowed at any Underworld: Dark Harbor event.
Antidiscrimination and Harassment Reporting Policy
Anti-Discrimination Policy
At UW Dark Harbor, we want to create an environment where anyone can play without putting their safety or well-being at risk. We are especially cognizant of the need to protect members of our community with marginalized identities. We have a zero-tolerance policy regarding our Anti-Discrimination policy or harassment of any kind.
Reporting Policy
SCOPE: Underworld: Dark Harbor, its subsidiaries, and affiliates (collectively, “Underworld: Dark Harbor”).
POLICY: It is the policy of the Company that all Underworld: Dark Harbor players and staff are highly encouraged to report genuine concerns of wrongdoing on the part of the Company, its staff, players, or agents, and to provide a reliable means of doing so while at the same time ensuring against retaliation for such reporting.
Reportable Matters: Reportable matters include but are not limited to the following:
- Verbal or written comments that reinforce homophobia, transphobia, real-life racism, sexism, sexual assault, and slavery.
- Harassment and Discrimination
- the law of any relevant county and state.
Reporting Procedure: First, any allegations of criminal violations of law should be reported to the appropriate authority. Any member (i.e. player/staff/or affiliate) may report reportable matters to a lead staff member (Head of Logistics, Head of Plot, Head of Operations) or General Manager. The reporting member must be a first-hand account. Lead staff members will ask for a statement of the incident and may ask for available evidence related specifically to the incident being reported. Reports must be done in person or be e-mailed to gm@uwdarkharbor.com
Confidentiality and Investigation: Lead Staff members are responsible for treating any information seriously and taking all reasonable steps to ensure that the identity of the individual reporting an issue of concern remains confidential and will only be disclosed to the General Managers, and any individuals required for the completion of the investigation. Staff will ensure that all matters reported are referred to the General Manager(s) will ensure that the investigative procedures are observed. All reasonable care will be taken in dealing with suspected misconduct to avoid premature action, baseless allegations, and violations of any legal rights.
Being Reported: If someone has reported you for an incident, please keep in mind that everyone is here to have fun and always presume good faith in the other player(s) and the process. Underworld: Dark Harbor understands that each situation can vary, and no one incident is the same, and we will always strive to do right by our players.
Disciplinary Actions: Staff will review incidents to determine the degree of all rule violations. If the violation is minor, a Staff member will intercede politely and attempt to resolve the situation quickly and with as little interruption as possible.
In the case of a second violation of a similar kind, or if the incident is more severe, a member of the Staff will gather information from all parties and witnesses (if any) before making a final decision. Some cases may require one or more parties to leave the event if the violation is severe enough.
If it is determined that disciplinary action must be taken, penalties may include (but are not limited to):
WARNING:
A Warning will be provided in the case of a first incident, if the incident is minor and not requiring more immediate action.
REMOVAL:
Player(s) may be removed from an event at the discretion of the General Manager(s) and must also leave the event site.
SUSPENSION:
Player(s) may be Suspended from Underworld: Dark Harbor at the discretion of the General Manager(s). Suspensions will be given a duration at the time they are implemented, and a final review will occur before lifting the Suspension. If the Suspension is determined to have been insufficient to amend the Player(s)’ behavior, it may either be extended or converted into a Permanent Ban.
BAN:
Player(s) may be Banned from Underworld: Dark Harbor at the discretion of the General Manager(s). A Ban may be appealed via email after six (6) months, at which time it will be reviewed, and any new supporting material will be presented for consideration. During a Ban, players will be removed from all social media, and not be allowed at any Underworld: Dark Harbor events.
PERMANENT BAN:
Player(s) may be Permanently Banned from Underworld: Dark Harbor at the discretion of the General Manager(s).
- Retaliation: Retaliation in any form against a staff, player, or affiliate following the reporting requirement of this policy is expressly prohibited and if any person(s) has been subjected to harassment or retaliation, or if any person(s) believes that the reported matter has been improperly dealt with, should directly contact a Lead Staff Member or General Manager(s).
The staff of Underworld: Dark Harbor reserves the right to remove, block, or deny entry to any participant at any time for any reason. This decision will never be made lightly. We will always use our best judgment and do our best to apply this right with fairness and great consideration.
Underworld: Dark Harbor reserves the right to update and revise this policy as needed for the betterment of the game and its players.
What About Accidents?
We all have knowledge gaps, and we all make mistakes. If a person makes an unintentional harmful comment, we reserve the right to allow that community member to remain, assuming they make an immediate, good-faith effort to correct the behavior. Overtly bigoted comments do not fall under this umbrella.

At Underworld LARP: Dark Harbor, we value and respect the privacy of our community members. This includes interactions that take place outside of our official game events, Discord server, and social media channels. To maintain a healthy and inclusive community, we have established guidelines regarding the use of private messages, spaces, and Discord servers.
Private Messages and Spaces:
Private messages and spaces, including those outside of official game events, Discord (including private discord servers), and social media, are considered private and personal interactions among our community members. These interactions are not subject to scrutiny unless they directly violate our anti-discrimination policy, which is limited to discriminatory language/behavior that is egregious and targeted toward specific individuals.
Confidentiality and Frivolous Complaints:
We understand the importance of confidentiality within private spaces. Complaints related to discriminatory behavior will be handled with discretion and only acted upon if they are shown to violate our anti-discrimination policy. We will not entertain frivolous or targeted complaints initiated with the sole intention of causing harm to another community member.
By participating in Underworld LARP: Dark Harbor, community members implicitly agree to adhere to these privacy expectations, understanding that the enforcement of our anti-discrimination policy is focused on maintaining a safe and inclusive environment for everyone.
Disabilities
Players with any disabilities should inform staff via email ahead of an event if they need any form of accommodation. We will do our best to accommodate your disability within our means to do so. If no reasonable accommodation can be reached, and you have already bought your ticket, you may be granted a full refund upon request.

NPC Shifts
Purchasing the Base Ticket requires that you report to NPC for a single 4-hour shift. We appreciate it if you would arrive on time for your scheduled shift, wearing straight black clothing. At the beginning of the shift, the Shaper will record your attendance. Full-Time NPCs will receive Frags at a rate of 3 per hour. During NPC shifts, you may be asked to portray any number of different characters, depending upon need. While you may have a preference for particular roles (combat, roleplaying, etc.), these roles cannot be guaranteed.
If you have any injuries or disabilities that would prevent you from performing a task during your NPC shift, please let the Shaper know.
If you do not show up for your scheduled NPC shift, you will be given a written warning on your Character sheet. If you miss another, you must make up the missed shifts at the very next event, or you will be suspended until you agree to do so. These make-up shifts will not earn you frags and you will not be allowed to play at events again until it is made up. If this rule is abused, it will be made more strict.
If you have a legitimate reason for missing the shift, such as a medical issue or needing to leave early due to unforeseen circumstances, let the Shaper at NPC know what is going on as soon as possible so that they can arrange alternatives for you.
Character Ties
Two or more of your characters may not have background ties with one another. It is recommended that you make your characters as diverse from one another as possible.
Retirement and Final Death
New characters should not have any ties to former characters, and should not be used as “revenge characters”. Please maintain the integrity of the new character, regardless of the feelings surrounding the resolution of former characters.
Lost and Damaged Tags
We will gladly replace damaged tags with what is legible to the best of our ability.
Lost tags will not be replaced.
RetCons
We will avoid retroactive continuity at all possible, although if a character suffers a death due to a glaring rules error, they may not suffer a death listed on their sheet.
Rare instances of retcons will be handled on a case-by-case basis by the Lead Shaper or Guild Master(s).
Sleeping Arrangements
Beds are provided on campsite, you will need to bring a blanket, sheets, and
Sleeping is done In-Character. If you have a medical reason for sleeping out of character, please email us at Guild@uwdarkharbor.com.
Beds are first come first serve. Please be conscientious of the space you are taking up beyond your bunk as you may be sharing the space with others.
Blue Lantern Policy
The Blue Lantern Policy is something that allows a player to easily opt-in and out of night-time NPC cabin raids. If your cabin agrees to put up a Blue Lantern directly outside your building, your cabin will not be raided by NPCs between 2AM and 8AM on Saturday or Sunday morning during the event. However, to be clear, this Blue Lantern Policy will not prevent PvP actions to happen in that cabin during the nighttime.
The Blue Lantern Policy affects both Cabins and Tents in which people are sleeping or spending their time. However, it does not affect open-air tents or areas of the campsite other than Cabins or Tents.
For example, if you are staying in a hammock, a pavilion, or an open-air tent, a blue lantern will do nothing but look cool.
Tent-Sleeping
Fighting will not be done in tents for safety reasons. Instead, Marshals will give occupants a 1-minute warning to exit and engage. Failure to exit at that time will result in all characters within the tent being dropped into Bleeding Out. As with all theft, a Shaper must be present when a player steals from a tent.

Pink Band Safety Policy
The purpose of the Dark Harbor Pink Band Policy is to help other players, NPCs, and Marshals identify those who should not engage in boffer combat. While accidents can still happen, this policy is designed to minimize risks. If you are not able to withstand an accidental boffer hit, please consider if this is a safe environment for you.
Choosing to use a pink band is at the player’s discretion unless directed by the Safety Team. There is no formal process for requesting a pink band. Players can procure their own Safety Team-approved LED lighted pink bands and wear them at their discretion, or they can request a pink band from the Safety Team. Medical Marshals or other staff may offer pink bands after a medical incident where appropriate. A member of the Safety Team may require a player to wear a pink band or leave the game at their discretion.
- Opting In and Out: A player who has opted to wear a pink band may opt to remove their pink band and engage in combat for the remainder of the game. This cannot be done in the middle of a combat engagement. If a player opts out of combat, they will remain out of combat until the encounter is over.
- PVP Encounters: Pink banding does not opt out of PVP. Players should see a PVP Marshal prior to a PVP encounter.
- Combat Engagement: Pink-banded players may use packets or contact/touch abilities during engagements but accept the potential to be hit by packets or touch abilities from NPCs. These are with lightest touch rules. Pink-banded players reserve the right to call a medical hold to move combat safely away if they can not move or remove themselves and opt out of combat.
- Non-Combat Activities: Pink-banded players are not restricted from participating in merchant or non-combat-focused mods. If combat escalates, the player should call a medical hold, remove themselves from combat, and trigger “Fate of the Party.”
- Visibility: Hiding or obscuring pink bands for ANY reason is strictly prohibited.
Consequences for Breaking Pink Band Policy
Banded Player
- First offense: Verbal warning from the Safety Team.
- Second offense: Non-combat for the rest of the game.
- Third offense: Eviction for the remainder of the game.
- Fourth offense: Suspension/banishment at the Safety Team’s discretion.
Non-Banded Player/NPC
- First offense: Conversation with the Combat Safety Instructor.
- Second offense: Remedial training with the Combat Safety Instructor.
- Third offense: Loss of combat privileges until deemed safe by the Combat Safety Instructor.
- Fourth offense: Suspension/banishment at the Safety Team’s discretion.
The Safety Team reserves the right to escalate consequences on a per-case basis.
Reporting Violations
If this policy is violated, report it to the marshal on the mod. If none is present, report it to a shaper, medical marshal, or HoX, whoever is most immediately available.
Communication and Awareness
The medical combat rules, including this policy, will be briefed at new player briefings. It is expected that all players are made aware of these rules.
